    Exhibit Opportunities

    The exhibition is a vital part of the ICBM 2025 Congress. Every effort will be made to ensure that all exhibitors receive prime exposure and direct marketing opportunities with key players and decision makers in the field. Efforts include but are not limited to: 

    Exhibit Options

    Note: Prices are exclusive of 20% VAT.

    Included with each exhibit purchase:

    • Table + 2 chairs (parquet flooring; electricity not included)
    • One (1) complimentary Congress badge, access to sessions & Exhibit Hall
    • Additional Congress badges at the discounted rate of EUR 350 per badge, access to sessions & Exhibit Hall
    • Listing with company logo, 50-word description and web link on Congress website and mobile app

    Level sponsors have first choice in selecting exhibit location, followed by exhibitors on a “first-booked, first-served” basis, as long as payment is received. No exhibitor may sub-let or share with another exhibitor.

    Non-Profit Spaces 

    Exhibitors who are defined as not-for-profit organizations are eligible to receive a reduced rate for a maximum of one (1) tabletop display (4 m2 space with table and 2 chairs). Assignment of space will be confined to a specific area on the floorplan. Non-profit exhibitors do not have the option to choose space in other locations in the Exhibit Hall at this reduced rate. Additional exhibit spaces will be charged at the regular rate.

    Industry Lunch Symposia

    The Congress offers three (3) opportunities for your company to host a non-exclusive lunch symposium on Friday, August 8.

    As the sponsor of an Industry Lunch Symposium, you will: 

    • Have the use of a meeting room at the University of Vienna for the duration of the symposium. 
    • Receive a basic AV package with projector and screen, microphone at the podium, audience microphones, and a head table with microphones. 
    • Be listed on the Congress website and in the mobile app, with symposium description and hyperlink to company’s own event page (if desired). 
    • Receive two (2) complimentary badges for your team or your speakers to access your symposium. 
    • Include a complimentary virtual flyer in the mobile app promoting your symposium. 
    • Be listed in a summary e-blast highlighting all symposia, sent through the Congress Secretariat to all registered delegates prior to the Congress.  

    Important Information: 

    • Prices above do not include food and beverage; food and beverage can be ordered from the official catering provider via the Congress Secretariat. 
    • Only basic AV is included. Additional AV equipment can be ordered from the official AV supplier via the Congress Secretariat. 

    The Sponsor must provide the symposium program as well as presentation slides to the Congress Secretariat, for approval by the Organizing Committee, closer to the Congress dates. Details will be communicated a few months before the Congress. 

    The information discussed must be presented in an objective, balanced and scientifically rigorous manner. The content and format of the symposium or its related materials must promote improvements or quality in healthcare and not a specific proprietary business interest or a commercial interest. Titles must be indicative of the program topics.

    Program Support

    The Congress offers several opportunities for your organization to support a session in the Scientific Program.

    Support includes acknowledgement on the Congress website, in the mobile app, and on any Congress schedule when relevant. It also includes your logo on screen and verbal acknowledgement by the moderator at the beginning and end of the session.

    1 Each post to be posted on both X and LinkedIn. 

    2 The Congress Secretariat will send e-blasts to interested parties on a regular basis prior to the event to update on newest developments about the Congress. Your custom banner will be displayed in the body of the e-blast. 

    3 On Thursday, Friday and Saturday mornings, the Congress Secretariat will send emails to the delegates, highlighting the best sessions and presentations scheduled for that day. It will also include any session or room changes to make sure delegates always have the most up-to-date information. Your custom banner will be displayed in the body of the email. 

    4 All confirmed delegates will receive a final confirmation email a few days before the Congress, with valuable information such as Venue address, Registration Desk hours, etc. Your custom banner will be displayed in the body of the email. 

    5 Every delegate will need to register via the Registration website. Your custom banner will be displayed in the footer of the site. 

    Sponsor will be responsible for providing the banner ad, post or notification as per specifications to be communicated by the Congress Secretariat a few months before the Congress.

    Poster Presentations (Exclusive)
    Abstracts accepted for poster presentations will be displayed in the Exhibit Hall. Presenters will be present during the networking breaks and poster viewing times to answer questions and discuss their research or project with delegates.

    As the exclusive sponsor of the Poster Presentations, you will:

    • Have the opportunity to position custom free-standing banners in the Poster area (banners supplied by Sponsor; maximum size 1m x 1.5m)
    • Have your logo displayed on all poster signs on the poster boards and on all relevant signage associated with the Poster Session

    Congress Badge Lanyards (Exclusive)
    All delegates will receive a name badge and lanyard to be worn for identification during the Congress.

    As the exclusive sponsor of the Lanyards, you will have your logo on all lanyards (provided by Congress Secretariat) along with the Congress logo.

    President’s Reception (Exclusive)
    The ‘by-invitation-only’ President’s Reception will take place on the evening of Tuesday, August 5. Past presidents, master speakers, and committee members will be invited to this event, providing them with a unique opportunity to mix and mingle during their busy Congress schedule.

    As the exclusive sponsor of the President’s Reception, you will:

    • Receive three (3) complimentary invitations to the Reception
    • Have your logo placed on the tickets and menu cards, and on signage onsite
    • Be verbally acknowledged during the Reception

    Website Sponsor (Exclusive)
    The official website is the flagship of the Congress providing delegates, sponsors, and exhibitors up‐to‐the‐minute information on the program, exhibition and details on the host city of Vienna. Elevate your brand’s visibility and connect directly with your target audience.

    As the exclusive Website Sponsor, you will:

    • Have your logo prominently placed on the home page, as well as in the footer of every “inside” page
    • Have a banner ad displayed on all inside pages in the lead-up to, and during, the Congress

    Wireless Internet (Exclusive)
    Wireless internet will be available throughout the venue at no charge allowing delegates to use the Congress mobile app to view the scientific program, access abstracts, or connect with other delegates and colleagues.

    As the exclusive sponsor of the Wireless Internet, you will:

    • Have your logo displayed on all relevant signage associated with the wireless internet
    • Have your custom graphic displayed on the access page of the wireless network (to be confirmed)

    Charging Lounge (Exclusive)
    A Charging Lounge will allow attendees to power up their mobile phones, tablets, laptops, and other electronic devices for free, while providing a comfortable seating area to conduct meetings, check emails or simply to study the Congress program. It will be in high demand and can be placed in the Exhibit Area near your booth.

    As the exclusive sponsor of the Charging Lounge, you will:

    • Have the Lounge branded with your logo/custom design
    • Have the opportunity to position a custom free-standing banner in the Lounge (banner supplied by Sponsor; maximum size 1m x 1.5m)
    • Have the opportunity to place promotional materials in the Lounge

    Welcome Reception (Exclusive)
    The Welcome Reception will take place on the evening of Wednesday, August 6 in the Exhibit Hall. It provides delegates, speakers, sponsors and exhibitors with the opportunity to mix and mingle while enjoying refreshments.

    As the exclusive sponsor of the Welcome Reception, you will:

    • Have table top cards with your logo on all food and beverage stations during the Reception
    • Be verbally acknowledged during the Reception

    The Congress Dinner will take place on the evening of Thursday, August 7. It will provide a great opportunity for delegates, sponsors, and exhibitors to mix and mingle.

    As the exclusive sponsor of the Congress Dinner, you will:

    • Receive six (6) complimentary invitations to the dinner
    • Have your logo placed on the tickets and menu cards, and on signage onsite
    • Be verbally acknowledged during the Dinner

    To reach a sponsorship level, you can: 

    • pick “a-la-carte” items from the options above = shopping list (exhibit, advertising, program, marketing items), or 
    • make a general contribution to the Congress, or 
    • choose a combination of these two options: if the total of your “a-la-carte” items doesn’t reach the minimum amount for the sponsorship level of your choice, simply add a general contribution amount.

    The Congress Secretariat (International Conference Services, Ltd.) is the official housing bureau and will coordinate housing for the ICBM 2025 Congress. Discounted room rates have been negotiated for delegates and groups. All sponsors and exhibitors are asked to support the Congress by booking accommodations via the official housing bureau. Full rates will be available on the website’s Accommodation page.
